About Registering Siblings

As a general rule, Baby-J’s support covers children aged 12 or younger who are cared for at the same location during the support. When making a request, please apply according to the number of children who will be cared for together.

Example: When three siblings are at home
If the eldest child is 11, the middle child is 8, and the youngest is 5, all three children are included as support subjects.
※ Availability and scope may vary by supporter; please inquire with each supporter.

※ You cannot request pick-up/drop-off or similar support from private tutors. If pick-up/drop-off is required or it is difficult for a guardian to be at home/accompany the child, please request a supporter instead.
※ It is not mandatory to place a request for children who go out during the support period.

Caution!! If an unregistered child is injured or causes property damage during support, the insurance will not apply.

Prohibition of Multiple Account Registrations

For each household, only one account is permitted. Creating bookings for the same household from multiple accounts may cause confusion for supporters or private tutors and lead to issues. Please be sure to use one account per family.

※ If spouses or family members use separate devices, please share the same email address and password.
※ When sharing an account, clearly designate the person responsible for handover when placing a booking request, and indicate who is sending messages when contacting supporters/private tutors via chat. We also recommend sharing the day-of contact number and emergency contact prior to the start of support/instruction.

We comply with the Ministry of Health, Labour and Welfare’s “Guidelines on Matching Sites for Childcare (Child-Minding) Services.” Our Terms prohibit a single supporter from registering under multiple names, and we have strengthened system monitoring to prevent duplicate registrations.

⑤ Consumption Tax

⑥ Supporter’s Round-Trip Transportation
Actual round-trip transportation cost or actual parking fees are borne by the user.

※ If you request pick-up/drop-off for your child, please consult the supporter regarding how transportation costs will be settled for travel.

About Transportation Expenses When Using Public Transportation

When a supporter uses public transportation, the actual transportation cost will, in principle, be charged.
① When the supporter travels from their home or another location to the guardian’s residence
② When the supporter uses public transportation for pick-up/drop-off
In both cases, the actual transportation expenses incurred shall be borne by the guardian.

About Transportation Expenses When Using a Private Car

When a supporter travels to the support location by private car, the method of calculating transportation expenses varies by supporter. For details, please contact each supporter directly.
If parking is available at the support location (e.g., your home), please provide guidance so that the supporter can use it.
If no parking is available, a nearby coin-operated parking lot will be used; in such cases, the parking fees incurred shall be borne by the guardian.

About How to Settle Transportation Expenses for Pick-Up/Drop-Off

If transportation costs are incurred for pick-up/drop-off to and from nursery/kindergarten or lessons, both the child’s fare and the supporter’s transportation costs are to be borne by the guardian.

Please choose one of the following methods. Settle the expenses after discussing with the supporter in advance.

<When settling by credit card as part of the support fee>
Include both the child’s and the supporter’s transportation costs, and enter the actual amounts either at the time of the estimate or when submitting the support completion report, so that they can be billed.

<When settling only the child’s portion via IC card, etc.>
Have the child carry a transportation IC card (e.g., Suica or PASMO) and settle the child’s fare with the IC card. The supporter’s transportation cost for pick-up/drop-off—including round-trip fare from the supporter’s home (or departure point) to the guardian’s residence—should be entered at the time of the estimate or the support completion report and billed as the support transportation cost.

<When settling both the child’s and the supporter’s transportation costs in cash on the day>
Receive the receipts from the supporter and settle in cash at the end of the support in exchange for the receipts.

Request
When taxis are used, transportation costs can be high. To reduce the supporter’s burden, please settle in cash on the day whenever possible rather than after-the-fact settlement.

About Searching for Babysitters and Private Tutors

There are two primary ways to find a supporter.

(1) Refine your search using specific conditions
You can narrow down supporters by applying various search criteria such as location, the child’s age, professional qualifications (e.g., certified childcare provider), hourly rate, schedule availability, and more.

(2) Post a request through the recruitment feature
You can invite supporters to apply by navigating to Menu > Recruitment Management and creating a request.

About the Minimum Service Duration

The minimum service duration is 2 hours for babysitting and 1 hour for private tutoring. (Thereafter, adjustments can be made in 30-minute increments.)
Same-day bookings are possible if the supporter’s schedule is available.

About Preliminary Interviews

At Baby-J, we recommend arranging a meeting with your supporter prior to the first service request.

If a preliminary meeting is not arranged in advance, please include approximately 15 minutes for a meeting on the day of the service. As a general rule, the child who will be receiving the support service should also be present during the meeting.

Ideally, the meeting should take place at the location where the childcare service will be provided. If this is not possible, an online meeting using tools such as Zoom or Google Meet can also be arranged.

The meeting fee will only be charged for the supporter whom the parent has requested to meet and with whom a match has been successfully established for the first time. The fee should be paid together with the cost of the first support service.

The preliminary meeting fees are as follows:

In-person meeting: ¥3,000 (excluding tax) / 1 hour + transportation expenses

Online meeting: Free of charge

About the Number of Children That Can Be Cared for at One Time

The number of children a supporter can care for varies by supporter. Please check the supporter’s profile for detailed conditions.
If there is a discrepancy between the number of children included in your booking and the number actually present at your home on the day, we may decline the support from a safety perspective.

Please note that if a cancellation occurs due to failure to accurately declare the number of children in advance, the resulting costs will be borne by the guardian.

About Childcare in Settings with Multiple Children

At Baby-J, as a general rule, all children aged 12 or younger who stay at the same location as the supporter during support are covered by the service.
Accordingly, when multiple children are present at the designated support location, we cannot accept requests that cover only some of the children.

From the perspective of insurance claims in the event of an emergency, please submit your request to include all children who will be together during the support.

Please note that the maximum number of children a supporter can handle varies by supporter. For details, please check each supporter’s profile or contact them directly.

About Requests at Locations Other Than the Home

It is possible to provide support at locations other than your home. Please consult the supporter regarding the place of support.
For example, if the location is safe for caring for your child—such as pick-up/drop-off to and from a nursery or kindergarten, lessons, or playing together in public spaces like parks or children’s centers after handing your child over at home—you may designate the location upon consultation and mutual agreement with the supporter.

About Requests During Business Trips or at Travel Destinations

Depending on the supporter, it is also possible for them to accompany you to business trips or travel destinations. To ensure safe and reliable use, please conduct a thorough discussion in advance and provide the supporter with the childcare location’s address, contact information, and schedule details. Based on this information, the supporter will calculate transportation expenses and other related costs.

About the Support Process

▼ Example of the Support Service Flow

(1) The supporter arrives at the handover location
(Home, nursery school, kindergarten, after-school care facility, etc.)

If the child is to be picked up from a nursery school, kindergarten, or after-school care facility, please ensure that the parent or guardian has informed the facility in advance that the supporter will be responsible for the pickup and has completed any necessary procedures.

If there are any concerns regarding the child’s health on the day of the service, or if there are important instructions for the supporter, please inform the supporter in advance.

(2) Providing the support service

The supporter will spend time with the child in accordance with the information shared during the initial meeting and the requests made for the day.

This may include pickup and drop-off, assisting with meals at home, bath support, reading stories, helping with brushing teeth, and putting the child to bed.

(3) Handover

Please return home in time for the scheduled end time and receive a report from the supporter regarding how your child spent their time during the service.

(4) Service report and payment

After the service is completed, the supporter will submit a service completion report. Please review the details of the service, confirm the support hours and total fee, submit your evaluation, and then proceed with the payment.

About Same-Day Extensions of Support

If you wish to extend the service time, please inform the supporter of your request and obtain their agreement in advance.

Extensions are available in 30-minute increments. For example, if the scheduled end time is 7:00 PM and the service is extended until 7:25 PM, the extension will be counted as until 7:30 PM.

The extended time will be adjusted by the supporter when submitting the service completion report. Please review the report details, including the service duration and total fee, before proceeding with the payment.

Please note that depending on the supporter’s schedule, it may not always be possible to accommodate a request for an extension.

About Same-Day Shortening of Support Due to the Supporter’s Circumstances

If the support time is shortened due to the supporter’s circumstances (e.g., late arrival or early departure), the supporter must apply a discount for the unprovided time when submitting the report.
Please request that the supporter/private tutor, on the “Support Completion Report Entry” screen, deduct the unprovided time when entering the details and then send the payment request.

Before completing payment, please review the contents of the received payment request.

About Handing Over Your Child

The handover of your child must always be carried out by the guardian or by an adult designated by the guardian. If the recipient is someone other than the guardian and is not personally known to the supporter, please be sure to inform the supporter in advance of the person’s name, relationship, and distinguishing characteristics.

To avoid troubles arising from misunderstandings or misidentification, we recommend using Baby-J’s chat function to keep a record of your communications with the supporter.

If You Have Forgotten to Prepare Your Child’s Meal

If the time your child is entrusted overlaps with meal times, please have the meal prepared by the guardian.
If you forget to prepare or set aside your child’s meal, please contact the supporter via Baby-J’s chat function and provide instructions regarding the meal.
If you prefer dining out or purchasing from a supermarket or convenience store, please ask the supporter to make a temporary outlay and receive the receipt from the supporter. After you return home, settle the amount based on the receipt.
Please note that Baby-J does not provide household services such as cooking that involve the use of fire or knives by supporters.

About the Supporter’s Meals

There is no need to prepare a meal for the supporter. Supporters are advised to have their meal in advance or bring a light snack and eat within a reasonable timeframe that does not interfere with the childcare service.

If the time during which your child is under care overlaps with a meal time, please prepare a meal for your child.

About Surcharges for Early Morning, Evening, and Late-Night Hours

When the service is used during the following time periods, additional charges will apply.

Early Morning (6:00–8:00): 25% surcharge on the base rate
Evening (18:00–22:00): 25% surcharge on the base rate
Late Night (22:00–6:00): 50% surcharge on the base rate

If Your Child Becomes Ill After the Booking Is Confirmed

If your child becomes ill or experiences health concerns after the reservation has been confirmed, please contact the supporter promptly.

▼ If you have requested a supporter who can provide care for sick children

  • If the service can be changed to sick-child care
Please send the supporter detailed information about the child’s symptoms as well as documentation confirming the medical visit through the messaging system.
Please note that the service fee may change when switching to sick-child care. For details, please consult the supporter.
  • If the service cannot be provided
Please cancel the request and search for another supporter who can provide care.
Please note that cancellation fees may apply if the cancellation is made within 48 hours of the scheduled service.

▼ If you have requested a supporter who does not provide sick-child care

Please cancel the request and search for another supporter who can provide care.
Please note that cancellation fees may apply if the cancellation is made within 48 hours of the scheduled service.

▼ Cancellation Fee Policy

(1) No charge if the cancellation notice is given 48 hours or more before the scheduled service date.

(2) 50% of the scheduled payment if the cancellation notice is given between 24 and 48 hours before the scheduled service date.

(3) 100% of the scheduled payment if the cancellation notice is given less than 24 hours before the scheduled service date or if no notice is given at least 2 hours prior to the service.

In addition, if the supporter has already started traveling to the service location based on the confirmed request, the transportation fee submitted at the time of reservation will be added to the cancellation charge.

About Requests for Children with Chronic Conditions or Allergies

At Baby-J, if your child has a chronic condition, requires medication, or has allergies, you are required to record these details in the child’s profile.
Supporters will review this information and determine whether they can accommodate the request. Please note that, depending on the request, it may not be possible to accept it.

In addition to advance communication via chat, please be sure to provide the supporter with the following information at the initial interview or, if no interview is held, at the first visit:
・Details of chronic conditions and medical history
・Information regarding allergies
・Points to be noted during care/support
・Emergency contact information in case of changes in the child’s condition
・Information on the child’s regular hospital/clinic

Please share this information in advance so that your child can spend time safely and comfortably.

About Requests for Children Requiring Special Care

At Baby-J, we also accept requests for support for children with disabilities or those requiring special care.
As the scope of services varies by supporter, please consult in advance via chat and then submit your request.

※ To ensure your child’s safety, please enter detailed information about your child’s condition in the child’s profile.

Medication Administration Request

As a general rule, medication administration is permitted only in cases of sick-child care support.

When making a request, please ensure that you complete a Medication Request Form and provide it to the supporter.
Additionally, the medication must be prepared by the user in individual doses for each administration. Please hand the medication directly to the supporter and clearly explain the instructions for use.

Please note that in some municipalities, medication administration by supporters may not be permitted. We recommend confirming the regulations with your local municipality in advance.

Medication may be administered during regular supporter services only when the following conditions are met.
All conditions marked with “●” must be satisfied.

▼ Conditions under which medication may be administered during regular support
● The parent or guardian is unavoidably unable to administer the medication.
● The medication has been prescribed by a physician.
● The medication is not being taken for the first time.
・In cases of chronic conditions (such as bronchial asthma, epilepsy, diabetes, or atopic dermatitis) where treatment is ongoing.
・In cases where emergency-use medications are required, such as anticonvulsants or anti-allergy medications.
(However, if symptom assessment is required, the supporter will administer the medication only after confirming with the parent or guardian by phone.)

About Requests for Cleaning Baby Bottles

We can accommodate the washing of baby bottles. Please inform the supporter in advance regarding the detergent to be used, the washing method, and the method of sterilization.
※ As for private tutors, we do not accept requests related to childcare or general household chores.

About Valuables Management and Security During Support

Please ensure that valuables are carefully managed under the responsibility of the parent or guardian during the support service.
We recommend that cash, valuables, and fragile items be securely stored in a locked room separate from the area where the support service takes place.

■ Examples of Security Measures
・Store valuables in a locked room or keep them in a safe.
・Do not place valuables, cash, or fragile items in the room where the supporter will be present.
・Clearly inform the supporter of any rooms they should not enter or items they should not handle.
・Prepare a security camera as a precaution, if necessary.

About Installing Security Cameras

At Baby-J, we recommend installing a security camera in order to monitor the child’s condition and ensure safety during the support service.
If you choose to install a security camera, please observe the following guidelines:

・To prevent the supporter from being unintentionally recorded (for example, when changing clothing), please inform the supporter in advance if a security camera will be installed or used.
・The use of security cameras for purposes other than confirming the child’s safety during childcare or learning support is strongly discouraged in order to protect the supporter’s privacy.
・Any use of recorded footage for purposes other than the above—such as sharing with third parties or publishing on social media or other online platforms—is strictly prohibited.
・To protect against unauthorized access or hacking, please use cameras equipped with privacy and security protection features.

Please note that failure to comply with the above rules may result in the suspension of Baby-J services.

Additionally, if you decide to install a camera, the purchase cost of the camera will be the responsibility of the parent or guardian.

About Interactions Conducted Outside Baby-J

If an interview or support session is conducted without using Baby-J and an injury or accident occurs, it will not be covered by Baby-J’s insurance. Baby-J will not be involved in or arbitrate any disputes arising from requests made outside the Baby-J platform.
Furthermore, if you propose or accept off-platform communications or transactions, it constitutes a violation of the Terms of Use and may result in claims for liquidated damages and/or suspension of service. Thank you for your understanding.

In the Event of a Disaster During Support

In the unlikely event that a major earthquake or disaster occurs during support, the supporter is requested to make judgments and take actions with the safety of the child and the supporter themselves as the highest priority.

To ensure the supporter can respond appropriately in an emergency, please discuss possible contingencies in advance during your routine support arrangements.
Also, as a precaution, please confirm that your registered information—such as emergency contact numbers and addresses—is up to date.

Private Tutoring

Baby-J’s private tutoring service is available for academic instruction both online and in person. Please note that private tutors do not accept requests that constitute childcare.
If pick-up/drop-off is required, or if a guardian cannot be present or accompany the child, please request a sitter service instead.

Services Available
In both in-person and online formats, private tutors can provide the following services:
・Entrance exam preparation
・Support for school classes
・Preparation for language and other certification examinations
・Music instruction such as eurhythmics and instruments
・Art instruction such as painting
・Consultation on your child’s learning and instructional methods

Guardian Presence
For both online and in-person sessions, please conduct support under the following conditions. The “guardian” need not be the child’s legal guardian, but must be an adult. Please inform the supporter in advance who will be at home.
・Preschool children
→ A guardian’s accompaniment is required. If temporary separation is necessary due to the nature of instruction, the guardian must remain at home and ensure an equivalent level of supervision (e.g., by using a monitoring camera).
・School-aged children and older
→ A guardian must be at home. Staying in the same room is not required, but the guardian must be able to ensure the child’s safety and respond in case of emergencies.

For online sessions, network connectivity and troubleshooting on the child’s side are the responsibility of the guardian.

Services Not Provided (Unavailable)
Requests outside the “Services Available” scope cannot be accepted. The following are specific examples of unavailable services (non-exhaustive):
・Pick-up/drop-off of children
・Childcare (e.g., assistance with changing clothes, feeding, toileting)
・Support provided when no guardian is at home
・Childcare for children requiring special care
・Household chores, etc.

If childcare is requested under a private tutoring reservation, or if support is provided in deviation from the above rules, Baby-J may suspend or restrict the account. Please submit requests in accordance with the proper rules.

※ This service is a matching service between private tutors and guardians and does not guarantee grade improvement or admission to any school.

About Sick-Child and Convalescent Childcare

Baby-J has supporters who are able to care for children who are ill or recovering from illness.
In addition, some supporters can care for children before a medical visit; however, for safe childcare, as a general rule, please submit requests after the visit, once a diagnosis has been confirmed.

Method for requesting care for sick/post-illness children
Please search for supporters who support sick-child care in the search conditions and place your request. (You cannot place requests with supporters whose setting indicates “Not available for consultation” regarding sick/post-illness care.)

Scope of symptoms that can be supported for sick/post-illness children
The scope varies by supporter and is divided into the following four categories.

・Mild (Fever: 37.5°C or higher; Gastrointestinal symptoms: diarrhea, vomiting, abdominal pain; Respiratory symptoms: cough, runny nose)
※ If a school/nursery attendance permit is granted for respiratory symptoms, such cases are, in principle, treated as regular supporter services.
・Non-infectious (e.g., asthma, rashes not caused by infection)
・Infectious diseases (e.g., influenza, chickenpox, mumps and other viral colds, impetigo, epidemic keratoconjunctivitis)
・Pre-clinic (before visiting a medical institution)

Even if respiratory symptoms allow school/nursery attendance, some supporters may decline from the standpoint of infection risk to other children and safety. Thank you for your understanding.

Please note that we cannot handle the following infectious diseases:
Bacillary dysentery, cholera, measles, pertussis (whooping cough), meningococcal meningitis, tuberculosis, enterohemorrhagic E. coli infection (O-157), Ebola virus disease, avian influenza (H5N1), severe acute respiratory syndrome (SARS), diphtheria, Marburg virus disease, Lassa fever, plague, South American hemorrhagic fevers, smallpox, Crimean–Congo hemorrhagic fever, typhoid fever, paratyphoid fever

Regarding COVID-19
From May 8, 2023, COVID-19 in Japan transitioned from a Category II–equivalent to a Category V infectious disease; however, for the time being, Baby-J will handle usage for sick/post-illness care as follows.

If your child or a cohabiting family member falls under any of the following, sick/post-illness care cannot be used:
1.Diagnosed with COVID-19
2.Suspected COVID-19 (e.g., unexplained fever, awaiting test results)
3.Other situations where infection with COVID-19 cannot be ruled out

Please note
・To prevent secondary infection and spread, supporters cannot handle the cleaning/disposal of clothing or furniture contaminated by vomit. If vomiting occurs, the supporter will gather items into the designated bag/place; disinfection and disposal thereafter are the guardian’s responsibility.

How to confirm the scope of support
The range of symptoms a supporter can handle is displayed in the PR comments of the “Supporter Profile.”

Post-illness children
If symptoms are improving but the child has not fully recovered, the case is treated as post-illness care. Because medical judgment can be difficult in many cases, please understand that, for safety management reasons, a supporter may handle the case as sick-child care at their discretion.

Examples:
・Low-grade fever (below 37.5°C)
・No fever, but mild residual symptoms (e.g., cough, runny nose)
・Convalescent period until full recovery (period during which school/nursery attendance is prohibited)

Rules when placing a request
(1) Please request only supporters who can handle sick/post-illness care.
(2) At the quotation stage, please describe symptoms and specific requested support in detail via comments or chat.
(3) If your child’s symptoms change before support begins, please be sure to share the updates with the supporter.

关于产前产后护理

Baby-J’s prenatal and postnatal care service provides specialized care for expectant and new mothers, as well as comprehensive support for their children. Many professionals holding national licenses—such as midwives, public health nurses, registered nurses, and nursery teachers—are registered with us.

At Baby-J, eligibility for prenatal and postnatal care is defined as follows.
Eligibility for Prenatal and Postnatal Care
・Prenatal: From early pregnancy (e.g., upon issuance of the Maternal and Child Health Handbook) through delivery
・Postnatal: Until the day before the child’s first birthday

Our prenatal and postnatal care support includes consultations on maternal health management, breastfeeding, bathing, and the growth and development of infants.

Services Available under Prenatal and Postnatal Care
As specified in the “Guidelines for Postnatal Care Services” by the Ministry of Health, Labour and Welfare:
・Physical care and health guidance, including nutritional guidance, for mothers
・Psychological care for mothers
・Care to enable appropriate breastfeeding (including breast care)
※ Provided only by licensed, experienced midwives
・Concrete guidance and consultation on childcare

Additional Services Available through Baby-J
・Hand care
・Body care
・Childcare for older siblings

As a general rule, prenatal and postnatal care is provided with mother and child in the same room.
Accordingly, it is distinct from support services in which a child is cared for while the mother is away (e.g., going out).
If the guardian will be absent, please request a sitter service.

In addition, “meet & greet” or “preliminary interviews” for prenatal and postnatal care are optional.
When requesting support, please arrange for services to be provided with mother and child in the same room.

About Cancelling a Support Booking After the Interview

Depending on the outcome of the interview, it is possible to conclude with the interview only and not proceed to request support, or to cancel a reservation thereafter. Likewise, depending on the supporter’s capabilities and experience, the supporter may decline or cancel a support reservation.

Please note that if a support reservation has already been confirmed, a cancellation fee may be incurred. Before making an interview reservation or a support reservation, please review the cancellation policy in advance. The supporter may also decline or cancel a support reservation.

About Cancellations by the Supporter After Booking Confirmation

After a request has been confirmed, we advise supporters/tutors to refrain from canceling for personal reasons. However, if a cancellation is requested due to unavoidable circumstances (e.g., contracting an infectious disease and therefore being unable to attend), we ask the guardian to review the details and consent to the cancellation.

If a cancellation occurs for reasons attributable to the supporter/tutor, no cancellation fee will be charged.
※ Please note that we cannot assume any responsibility for losses or damages incurred by the guardian as a result of a supporter/tutor’s cancellation.

About Cancellations Due to Typhoons or Natural Disasters After Booking Confirmation

In the event that, due to force-majeure natural disasters such as typhoons, earthquakes, heavy rain, or heavy snow, public transportation (e.g., trains) is completely suspended or it is deemed unsafe to provide support or educational instruction, please consult with the supporter/tutor and proceed with the cancellation process.
Please note that if the guardian initiates the cancellation, a cancellation fee may be charged depending on the timing.

If the guardian chooses to cancel despite the service being feasible, the cancellation policy will apply.

About Rate Settings and Your Remuneration

The remuneration you receive will be the total of “① + ② + ③” minus the platform usage fee (20% + consumption tax).

① Base Rate
You may set your own hourly rate starting from ¥5,500 per hour (tax included), and you may change it at any time.
The fee for babysitting/tutoring can be set from ¥5,500 per hour (tax included) via the Baby-J website.

② Surcharge
Early morning (6:00–8:00): +25%
Evening (18:00–22:00): +25%
Late night (22:00–6:00): +50%
(These surcharges are applied automatically and are not set by the babysitter/tutor.)

③ Additional Options
When optional services are used—such as sick-child care, caring for two or more children, or exam-prep tutoring—additional fees will apply.

■ Round-trip Transportation
You may receive reimbursement for actual round-trip transportation expenses.

■ Platform Usage Fee
20% plus consumption tax will be deducted from the sum of the Base Rate + Option Fees + Surcharges.

About How Transportation Expenses Are Calculated

As a general rule, regardless of where you are before the sitting, please claim round-trip transportation expenses from your home’s nearest station for each assignment.

If, due to special circumstances, you will be traveling from a location farther than your nearest station, please consult the guardian before the booking is confirmed, and finalize the request only after both parties agree on the transportation expenses.

If a booking is confirmed without obtaining prior consent from the guardian regarding increased transportation costs, you may not charge on the day an amount higher than the estimate originally presented.

About Calculating Transportation Expenses and Key Notes When Traveling by Car for Support

Please consult with the guardian during the quotation stage regarding transportation expenses incurred when traveling by car.

When claiming transportation expenses for car travel, it is common to invoice for fuel costs based on the driving distance. Please enter the amount in the “Transportation Expenses” field at the time of quotation and invoicing, and present it to the guardian.

About Settling Your Child’s Transportation Fare During Pick-Up/Drop-Off

Regarding transportation expenses for nursery/kindergarten drop-offs and pick-ups, as well as escorting children to lessons, the guardian is responsible for the child’s fare in addition to the supporter’s transportation expenses.
Please settle transportation costs after consulting with the guardian in advance.

<When settling as part of the babysitting fee by credit card>
Include both the child’s and the supporter’s transportation expenses. Enter the actual amount incurred either at the quotation stage or when submitting the completion report, and invoice the guardian.

<When settling only the child’s portion by IC card, etc.>
Have the child carry a transit IC card (e.g., Suica, PASMO) and settle the child’s fare with the IC card. For the supporter’s transportation expenses related to escorting, including the round-trip fare from the supporter’s home (or point of departure) to the guardian’s residence, please enter the amount as “Transportation Expenses” at the quotation stage or when submitting the completion report.

<When settling both the child’s and the sitter’s transportation expenses in cash on the day>
At the end of the support session, please receive cash in exchange for receipts or statements issued by the transportation provider.

About Transportation Expenses When Traveling to Support from Another Location

Even if the supporter travels from another location to the support site, please claim transportation based on the fare from “the supporter’s home to the station nearest the support destination.”

About Service Hours and Time-of-Day Rates

Baby-J provides a 24-hour service and accepts requests during nighttime hours as well.
Please publish the dates and times when you are available.

Early-morning / Evening / Late-night Surcharges
・ Early Morning (6:00–8:00): 25% surcharge
・ Evening (18:00–22:00): 25% surcharge
・ Late Night (22:00–6:00): 50% surcharge

About Interviews

Baby-J recommends conducting a preliminary interview when receiving a request from a guardian for the first time.
An interview helps build trust with the child and leads to smoother support.

■ Method and Cost of the Interview
If possible, the interview should be held at the location where support is to take place.
If that is difficult, an online interview via Zoom or Google Meet is also acceptable.
However, please refrain from using LINE video calls, as it requires exchanging personal contact information.
※ If no preliminary interview is conducted, we recommend including about 15 minutes for an interview on the day of support.

■ Interview Fee
The interview fee is charged only for the first sitter/tutor matched by the guardian, and is paid by the guardian together with the first support fee.

In-person: ¥3,000 (tax excluded) / 1 hour + transportation

Online: Free

■ Items to Confirm During the Interview
Confirm the child’s basic information and points of attention during sitting/tutoring.

<Babysitter>
Sample questions:
・Sitting schedule
・Meals (whether reheating is needed; place/time for meals) ※ No cooking
・Bathing method
・Toothbrushing method; whether finishing brush is required
・Bedtime routine and usual sleeping time
・Normal body temperature; emergency procedures (location of thermometer, insurance card, clinic card, maternal/child health handbook)
・Allergies and precautions
・Diaper storage location and disposal method
・Location for changing clothes; how to store removed clothing
・Pick-up/drop-off information (origins/destinations, class name, homeroom teacher, etc.)
・Method of handing over the home key
・Household rules

<Private Tutor>
Sample questions:
・Tutoring schedule
・Current learning status and goals
・Explanation of teaching approach; confirmation of household policy
・Learning environment check
・Explanation of textbooks and learning tools to be used
・Household rules

・Through the preliminary interview, please maintain careful communication so that guardians and children can use the service with peace of mind.

About Requests at Locations Other Than the Guardian’s Home

Even at locations other than the guardian’s home, sitting is possible as long as it is a place where the child can be safely cared for. Please be sure to consult with the guardian and obtain consent before proceeding.

<Examples of acceptable locations for sitting〉
・ Pick-up/drop-off from nursery/kindergarten or after-school lessons
・ Public spaces such as nearby parks or children’s centers
・ Shopping malls
・ Wedding venues or hospital waiting areas
・ Hotels at travel destinations, etc.
※ Please confirm the safety of the location in advance with the guardian present.
※ Even when sitting at locations other than the home, Baby-J’s insurance applies to unforeseen accidents or injuries during sitting.

〈Regarding stating your service scope〉
If you do not wish to provide sitting outside the guardian’s home, we recommend noting this on your profile, e.g., “Sitting limited to the guardian’s residence.”
※ Please note that caring for children at the sitter’s own home is prohibited.

About Childcare in Settings with Multiple Children

For insurance claim purposes, please advise guardians to place requests including the total number of children present, covering all children who will be with you.
To ensure safe support, please accept requests only after fully confirming the details of the support in advance.

About Requests for Children Requiring Special Care

The scope of services may vary depending on the supporter’s skills and experience. Please consult the supporter at the time of request. However, therapeutic/rehabilitative care or daily-life/academic instruction during support cannot be provided.
Please also note that any procedures constituting medical acts by the supporter are prohibited , regardless of the supporter’s qualifications or skills.

About Requests for Prenatal and Postpartum Care

In our prenatal and postpartum care support, we provide consultations regarding the mother’s health management, breastfeeding, bathing, and the baby’s growth and development.
Primarily within the first year after childbirth, we offer assistance for the mother’s physical recovery, breastfeeding guidance and breast care, psychological support through attentive listening, specific childcare guidance for newborns and infants, household support, and care for siblings.
Please consult the supporter regarding the specific content you wish to request.

About Interactions Conducted Outside Baby-J

Please note that any meetings or support arrangements conducted outside of Baby-J are not covered by Baby-J’s insurance. In the event of any injury, accident, or trouble arising from such arrangements, Baby-J will not be involved in or provide any mediation under any circumstances.

Furthermore, proposing or accepting any communication or transactions outside of Baby-J constitutes a violation of the Terms of Service. In such cases, penalties may be imposed, including the claim of liquidated damages and suspension of service access. We kindly ask for your understanding.

About Pick-Up and Drop-Off

For pick-up/drop-off services, please create the booking based on the support time from “the time you begin caring for the child” to “the time you hand the child back”, excluding the supporter’s travel time from their home.

※ If, at the guardian’s instruction, the supporter visits the guardian’s home to retrieve items necessary for the support and then proceeds to the destination, the support start time is when the supporter arrives at the guardian’s home.
Example: The supporter visits the guardian’s home to pick up a stroller and then goes to the nursery to pick up the child.

※ In cases such as “pick-up → supervision at the lesson venue → drop-off”, the time spent supervising at the lesson venue is also billable at the supporter’s hourly rate.

※ Bookings on Baby-J are for a minimum of 1 hour. Even if the pick-up/drop-off takes less than one hour, a one-hour fee will be charged.

About Receiving Medications and Requests for Administration

As a general rule, administration of medication is supported only in the case of sick-child care.
When making a request, please be sure to complete the “Medication Administration Request Form” and hand it to the supporter.
In addition, please prepare the medication yourself by pre-dividing it into single doses, hand it directly to the supporter, and clearly explain the method of administration.

Please note that medication administration by babysitters may not be permitted in some municipalities. We recommend confirming in advance with your local authority whether it is allowed.

Medication may be administered during regular babysitting support if all of the following conditions are met.
※ All items marked with “●” must be satisfied.

▼ Conditions under which medication may be given during regular support
● The guardian is unavoidably unable to administer the medication.
● The medication has been prescribed by a physician.
● The medication is not being taken for the first time.
・ In the case of chronic conditions (e.g., bronchial asthma, epilepsy, diabetes, atopic dermatitis).
・ In the case of medications required in emergencies, such as anticonvulsants or anti-allergy drugs.
(However, if symptom assessment is necessary, administer only after confirming by phone.)

About Childcare at the Sitter’s Own Home

Please note that caring for children at the sitter’s own home is prohibited.

In the Event of a Disaster During Support

In the unlikely event of a major earthquake or natural disaster during a support session, the supporter is expected to prioritize the safety of both the child and themselves when making decisions and taking action.

To ensure appropriate responses in such situations, we kindly ask you to discuss emergency scenarios with your supporter in advance during regular support arrangements.
In addition, please confirm that your registered information, including emergency contact details and address, is up to date.

About Penalties and Fines for Cancellations by the Sitter

Pursuant to the Terms of Use, if a supporter unilaterally cancels after a support-service contract has been formed and no later than 48 hours prior to the scheduled start time of the service, the following penalties will apply, except where extenuating circumstances defined by us apply. In addition, if cancellations exceed the number specified by us within a certain period, the supporter’s registration will be suspended.

(1) If notice of cancellation is given no later than 48 hours prior to the scheduled service date: No charge
(2) If cancellation is made from 24 hours to less than 48 hours prior to the scheduled start date and time: ¥10,000 (tax included)
(3) If cancellation is made within 24 hours prior to the scheduled start date and time: ¥20,000 (tax included)
(4) In the case of cancellation without notice: ¥100,000 (tax included)

About How to Settle Advance Payments

If an advance payment is made on your behalf, please settle it using one of the following methods:

1.Receive reimbursement for the actual amount in exchange for the receipt.
2.After informing the guardian in advance, add the amount to “Reimbursable Expenses (Actuals)” under Completion Report > Support Estimate Costs and invoice accordingly.

About Changing the Amount After Payment Completion

Once a payment has been completed, the credit card transaction is finalized and cannot be canceled or modified.
If there is an error in the billed amount, please consult with the guardian and take appropriate measures.

About How to Proceed When Payment Approval Is Not Completed After Submitting the Sitting Completion Report

If payment is not completed within 24 hours after the completion report is sent to the guardian, the transaction will be processed automatically for the amount stated in the completion report.

About Insurance Enrollment

Baby-J is enrolled in a dedicated insurance policy.
Personal injury and property damage occurring during a sitting are covered, and all sittings arranged through this platform are eligible for coverage.
Requests arranged outside the platform are not covered by the insurance. Such arrangements also constitute a violation of our Terms, and may result in revocation of usage rights and/or penalties. Please take note.

About Insurance Claims

Regarding Insurance Claims
If you wish to file an insurance claim for injuries or property damage that occurred during support, the party at fault (the liable party) must submit the claim.

① When the user is the liable party
If the supporter is injured or the supporter’s belongings are damaged due to the negligence of the child or the user, the user should file the insurance claim.

② When the supporter is the liable party
If the child is injured or the user’s belongings are damaged due to the supporter’s negligence, the supporter should file the insurance claim.

[Important Notes]
Only bookings that are formed and completed on the Baby-J platform are eligible for insurance coverage.
Depending on the insurance company’s determination, coverage may not apply if the liable party is found not at fault.
After submission, guidance will be sent from the responsible department; please be sure to review it.
※ Please submit your claim within 2 weeks after the end of support.

About Notifications to Local Authorities (Notification of Establishment of a Non-Licensed Childcare Facility)
